How to run a virtual Secret Santa for a remote team
A remote team cannot pull names from a hat or leave parcels under the office tree. Everything else about Secret Santa still works, and with a little planning a distributed exchange can be the best meeting of the year.
Start earlier than you would in an office
Posting gifts takes time, and December is the slowest month for deliveries. A timeline that works:
- Four weeks before: confirm who is taking part and agree the budget.
- Three weeks before: draw names and share the private links.
- Two weeks before: everyone has ordered. Send a reminder to anyone who has not opened their link.
- The day itself: open gifts together on a call.
Draw names online
Enter the names in the Secret Santa generator and share each person's private link in a direct message, not in a group channel. If you add email addresses, the links are sent for you. Nobody needs an account, and you as the organizer cannot see the pairs.
Solve the address question
Givers need to know where to send the gift. The simplest way is to ask everyone to put their delivery details in their wishlist: a home address, a parcel locker or a pick-up point. Only the person who drew them sees it, and it is deleted with the rest of the group 30 days after the event. People who prefer not to share a home address can name a locker or their nearest office.
Buy where the recipient lives
For teams spread across countries, order from a shop that delivers within the recipient's country. It avoids customs forms, import charges and long transit times. Check the delivery estimate before paying, not after.
Keep digital gifts as a fallback
A gift card, an e-book or a subscription arrives instantly and never gets stuck in a depot. Digital gifts are a good choice for colleagues in hard-to-reach places and for anyone who left it late.
Make the opening an event
Schedule a short call, ask people to keep their parcels closed until then, and go round one by one. Agree beforehand whether givers reveal themselves. Thirty minutes is enough for a team of ten; for larger teams, split into smaller calls so nobody is watching for an hour.
Mind the time zones
Pick a slot that is daytime for everyone, even if it is early for some and late for others. If that is impossible, let people post a photo of their gift in a shared channel on the day.

Frequently asked questions
How do people exchange gifts if they never meet?
Each person orders a gift to be delivered directly to the colleague they drew, then everyone opens their parcels together on a video call.
How do I collect addresses without sharing them with the whole team?
Ask each person to add their delivery details to their wishlist. Only their Secret Santa can see it.
What if a parcel does not arrive in time?
The giver can show a photo of the gift on the call, and it becomes something to look forward to. A digital gift is the safest way to avoid the problem.
